- Report to the Head of Global Travel, support the Senior Corporate Travel Coordinator and colaborate with the Corportate Travel Coordinators in the day-to-day assistance across The Group on all travel queries and requests.
- Researches and compares available travel and hotel accommodations in order to identify the most business efficient options;
- Responsible for travel bookings and arrangements while ensuring compliance with the Global Travel Policy and Procedure;
- Keeps up to date the information regarding travel restrictions, document requirements and travel requirements while offering support to all travelling employees;
- Accountable for keeping all sensitive (employees’ personal information, internal and business-related information, budgets and financial information of any kind, agreement provisions, etc.) information strictly confidential;Provides assistance with all specific documents and procedures required for travelling (e.g, visas, permits, medical requirements, insurance, etc.).
KEY RESPONSIBILITIES:
- Arrange and issue flights ensuring all flight details and confirmations are properly recorded with utmost attention to detail
- Liaise directly with travellers to confirm preferences and travel requirements
- Manage seat selections, baggage requirements, and special requests
- Monitor bookings and handle schedule changes, cancellations and re-issues
- Book hotels or other accommodation for travellers
- Coordinate room preferences and special requirements
- Ensure check-in and check-out schedules align with itineraries
- Act as the main contact for any accommodation-related changes or issues
- Organise airport transfers and local transportation for travellers
- Arrange taxis, car services or group transport when required
- Ensure transport schedules align with arrival times and event agendas
- Arrange travel insurance coverage for team members travelling abroad
- Maintain accurate insurance documentation and traveller records
- Assist with insurance claims or related queries when required
- Prepare detailed travel itineraries for each trip
- Compile all relevant travel information including bookings, contact details and event information
- Provide travellers with clear documentation ahead of departure
- Manage travel bookings through the company’s travel management system or booking tools
- Maintain accurate records of bookings and travel costs
- Generate reports and assist with travel data tracking when required
- Support the processing and reconciliation of travel-related expenses
- Work with the finance team to ensure accurate documentation of costs
- Assist travellers with expense queries where needed
- Track travel costs across events and trips
- Maintain records of travel spending and budget
- Provide updates or reports to management when required
- Identify opportunities to optimise travel costs
- Build and maintain relationships with airlines, hotels and travel providers
- Obtain competitive quotes for travel arrangements
- Monitor supplier performance and service quality
WHAT WE ASK OF YOU:
- Previous experience in administration with travel coordination, logistics, events or operations is essential;
- Excellent organisational skills and strong attention to detail;
- Comfortable managing multiple travel arrangements simultaneously;
- Outstanding communication skills with ability to communicate with all levels of The Group
- Proficiency in both written and spoken English;
- Additional language skills are beneficial
- Demonstrated experience with MS Office, with the ability to learn new systems and processes quickly
- Proficiency with excel spreadsheets or similar tools for tracking bookings;
- Experience using booking systems or travel platforms is an advantage
- Ability to adapt quickly to changes and resolve travel issues efficiently;
- Experience within events, travel, hospitality, or corporate travel management
- Familiarity with international travel requirements or visa processes
- Self-motivated with the ability to work independently
- Flexibility and general willingness to learn.
